Check income documents before a vehicle finance deal goes to the bank

The F&I office collects the customer’s payslips and bank statements, and the deal often closes the same day. Check those PDFs for signs of editing the eye cannot see before you submit the application.

Vehicle finance applications are a growing target

Vehicle finance moves fast. A customer chooses a car on the floor, the business manager gathers proof of income, and the application goes to one or more finance houses within the hour. That speed is good for sales, and it is exactly where an edited payslip or statement slips through.

When a finance house finds a problem with a document in a deal you submitted, the dealership loses the time spent on the sale and can strain a relationship it depends on. A quick check at the F&I desk keeps the worst files from leaving your office under your name.

On the showroom floor, two ways

Submitted as received

A customer wants a bakkie on finance. The payslip shows a salary that comfortably covers the instalment, and the statements look in order. The deal goes to three banks, one approves it, and the vehicle leaves on Saturday. Weeks later the finance house raises questions about the income, and the dealership is asked how the file was put together.

Checked at the F&I desk

The F&I manager uploads the payslip and statements before submitting. The statements come back with no signs of editing found; the payslip shows signs of editing. The manager asks for a payslip sent directly from the employer and holds the application until it arrives. The report goes into the deal jacket.

What the F&I office gets

  • A result before submission

Each PDF gets a verdict on screen in seconds, so the check fits between the test drive and the application.

  • A score for digital documents

Payslips and statements produced as PDFs get an integrity score. A scanned or photographed copy is checked as an image and gets a report without a score, which is often a reason to ask for the original.

  • A report for the deal jacket

Export each report as a PDF and keep it with the deal, alongside the ID copy and the signed application.

  • No false comfort

“No signs of editing found” is the best result for an unsigned file. It does not confirm that the employer or bank issued the document, and the finance house still makes its own assessment.

Affordability in vehicle finance

Vehicle finance is credit under the National Credit Act. Before granting it, the finance house must assess the customer’s discretionary income (Regulation 23A(3)), and the customer must provide authentic documentation (Regulation 23A(7)). At most dealerships the F&I process is where those documents are gathered and passed on.

Checking the files before they leave the dealership supports that affordability file. It does not replace the finance house’s own assessment or its credit checks. This is a plain summary, not legal advice.

Recommended plan for dealerships

A single dealership usually starts with the Team plan, 200 checks a month. Dealer groups that submit many deals across branches usually choose Business, which covers 1 000 checks a month and API access set up with our team. Compare plans on the pricing page.

Questions dealers ask

How long does a check take?

Seconds for most files. The report appears on screen as soon as the check finishes, so the customer is not kept waiting.

Can we connect this to our dealer management system?

On the Business plan, API access is set up with our team. Tell us which system you use in the request form and we will discuss what is possible.

The customer only has a photo of their payslip. Can we check it?

Only PDFs up to 10 MB can be uploaded. A photo saved inside a PDF is checked as an image and gets a report without a score. Where you can, ask for the payslip as a PDF from the employer’s payroll system.

Should we turn a customer away if a document is flagged?

A flag is a reason to look closer, not proof of fraud. Ask for a fresh document sent directly from the bank or employer, and follow your dealership’s normal process.

Does this check the customer’s credit record?

No. The finance houses run their own credit checks. Atomara only looks at whether the documents you received show signs of editing.
