Check proof-of-funds statements before the visa application goes in

Visa and study applications usually need bank statements that show the applicant or a sponsor can cover the costs. Check each statement PDF for signs of editing the eye cannot see before your name is on the submission.

Your reputation travels with every application

Consultants assemble application bundles from documents that clients and sponsors supply: statements, payslips, sponsor letters. You rarely see where those files came from. If a statement turns out to be edited, the application can be refused, the client may face consequences with that country, and the consultancy that lodged it carries the damage with future clients.

Embassies, visa application centres and universities set their own proof-of-funds requirements, and they change. Follow the official checklist for each destination. A file check sits on your side of the desk: it helps you decide which documents you are comfortable putting your name to.

A study visa bundle, two ways

Bundled and lodged

A student’s parent sponsors a study application abroad and sends six months of statements with a healthy balance. The consultant adds them to the bundle, books the appointment and lodges the application. It is refused, and the family blames the consultancy for the delay and the lost fees.

Checked before lodging

The consultant uploads the sponsor’s statements when they arrive. One shows signs of editing. The consultant explains that the application cannot go ahead on that document and asks for statements downloaded directly from the bank. The exported report stays on the client file as a record that the consultancy checked before it submitted.

What you get before lodging

  • A verdict for each statement

Every PDF in the bundle gets a plain result on screen: signs of editing found, no signs of editing found, or could not be assessed.

  • A score where the file supports one

Statements downloaded from a banking app get an integrity score. A scanned or photographed statement gets a report without a score, because a picture cannot show which document it was taken from.

  • A PDF report for your client file

Export the report and keep it on the client’s file as a record of the check you did before submission.

  • An honest limit

“No signs of editing found” is the best result for an unsigned statement. It does not confirm the bank issued it, and it does not tell you whether a destination will accept the funds shown.

Client documents and POPIA

Statements from clients and their sponsors are personal information, and POPIA applies to how your consultancy handles them. Collect what the application needs, keep it secure and tell clients how their documents are used, including who else receives them.

When you upload a client’s statement to Atomara, your consultancy is the responsible party and we act as your operator. Files are processed outside South Africa and deleted automatically within 30 days; see our privacy policy. This is a plain summary, not legal advice.

Recommended plan for consultancies

Consultancies that lodge applications every month usually start with the Pro pack: 40 checks, valid for 180 days, enough for several full bundles. Agencies with higher volumes can compare Business on the pricing page.

Questions consultants ask

Will an embassy accept a statement if Atomara finds no signs of editing?

We cannot say. Each embassy, visa application centre and university decides for itself. The check only tells you whether the PDF shows signs of editing.

Which statements should we check?

Every statement that carries the proof of funds, including the sponsor’s. A consistent rule protects you better than checking only the files that look unusual.

The sponsor banks abroad. Can we check a foreign bank’s statement?

Yes. The same checks run on every PDF, whichever bank issued it. The file needs to be a PDF up to 10 MB.

The client can only send a screenshot. What should we do?

Screenshots cannot be uploaded. Ask for the statement as a PDF from the banking app or online banking. Several South African banks also issue stamped or certified statements from their apps.

How long are client files kept?

Uploaded files are deleted automatically within 30 days. Export the report if you need a lasting record on the client file.
